"We sent the renewal instructions in June." The Iraqi side never received them.

Renewal

In one 2026 renewal, the instructing agent said it had sent its instructions in June, and its IT team confirmed the email left its office. The Iraqi office had never received it, and no follow-up or reminder arrived either, not even one day before the renewal deadline. By the time the matter surfaced, the mark was in the grace period and late renewal fees applied.

Each side's records told a different story, and by then it did not matter who was right. The renewal was late.

The lesson is simple: an email sent early only helps if it arrives. A missing message turns a routine renewal into a late one, adds late fees and delays the filing, and a reminder close to the deadline is the safety net that would have caught it.

A simple protocol for renewals in Iraq:

  • Ask for a written acknowledgement of every renewal instruction
  • No acknowledgement within a few days? Resend and phone
  • Chase before the due date, not after it
  • Keep the acknowledgement on your renewal docket
